Our Policies and Procedures in Detail

Introduction

East Cavan Swim Club seeks to align with the following policy guidance from Swim Ireland guidelines. This link collect ion does not strive to be complete but attempts to be informative for all club members, parents/ guardians, committee members, and coaches/ teachers. Swim Ireland may update their policy links from time to time, and links might change locations on the Swim Ireland website. This policy was adopted by Swim Ireland in February 2011 and was most recently amended in February 2024.

Agreements

Introduction

Below is a list of agreements, members, parents/ guardians, committee members, and coaches/ teachers adhere to, upon becoming a member of East Cavan Swim Club.

Some agreements use their own space on this website. To avoid duplicate mentionings; Those are:

Swim Ireland Database Permission

New and renewal memberships with East Cavan Swim Club automatically lead to the membership being registered and/ or updated with Swim Ireland through the Swim Ireland online membership database. We provide Swim Ireland with members’ personal data which is used to facilitate access to the membership database. Swim Ireland contacts members directly to access and update their member profile details including opt-ins and privacy settings. To facilitate this a valid email address is required from East Cavan Swim Club members.

Swim Ireland policies and notices relating to privacy are available on the Swim Ireland website and through the Swim Ireland online membership database.

I give permission for the East Cavan Swim Club membership secretary to add update and maintain my swimmer’s and my information on the JustGo Swim Ireland online membership database.

I agree to my swimmer’s personal data and swimming times being held and processed though Hy-Tek’s swimming software.

Safeguarding Policies Agreement

I agree to abide by the Swim Ireland Safeguarding Policies, the Rules of Swim Ireland, and the Rules of East Cavan Swim Club.

Photography and Video Consent

In accordance with the Swim Ireland Filming and Photography Policy, East Cavan Swim Club only permit photographs, video or other images of children/young people to be taken with consent.

Individual Permission Form for taking or use of images and/or video

East Cavan Swim Club request permission to photograph and/or record video footage of swimmer’s and/or swimmer’s parents/ guardians involvement with the Club for the purposes of publicising and promoting the club and/ or sport. Photographs/ videos will be taken by an appropriate person appointed to do so by East Cavan Swim Club (Swim Ulster/ Swim Ireland). Any images will be used, held and stored in accordance with the Swim Ireland Filming and Photography Policy as specified in latest version of the Swim Ireland Safeguarding Policy Statement. No young person will be identified individually in any published image or film footage without prior consent from the parent/ guardian.

I confirm that I give my consent to be filmed and/or photographed by the Club as set out above.

If swimmer is under 18 the parent/guardian must also acknowledge and provide consent:

I confirm that I give permission for my swimmer to be filmed and/or photographed and confirm I am the legal parent/ guardian of the young person captured by this agreement. Any photographs and/ or part of the video may be used in accordance with the Swim Ireland Filming and Photography Policy. I understand that East Cavan Swim Club may, on occasion, use these photographs on their Social Media channels (ECAV Website, Facebook, Instagram, X).

Permission to Share Medical Information

I agree to medical information (special category personal data) relating to my swimmer being shared with coach(es), team managers or other appropriate personnel, only, for the purpose of their coaching / learning needs and the delivery of safe participation in club activities. All information is treated with the strictest of confidence..

Parental Participation Agreement

As a parent/ guardian of an East Cavan Swim Club member, there are a certain number of mandatory duties that must be completed throughout the season.

1. Parent on Duty
2. Regional and National Competition Duty – Every club must supply officials; this is based on the number of entries from that club. Parents/ guardians of swimmers entered in these competitions will be included on the roster in order to assist with these duties.

I understand the above is mandatory for all parents/ guardians, and I agree to meet these requirements.

Medical Release Waiver

I certify that I am the parent or legal guardian for my swimmer. I hereby give my permission for any supervisor, coach or other team administrator associated with the East Cavan Swim Club to seek and give appropriate medical attention to the swimmer associated with this agreement in the event of an accident, injury, illness understanding that all costs associated with any necessary medical attention and/or treatment must be paid by the parent/guardian.

I hereby waive, release and forever discharge East Cavan Swim Club from all rights and claims for damages, injury, loss to person or property which may be sustained or occur during participation in East Cavan Swim Club activities, whether or not damages or loss is due to negligence. I hereby acknowledge that the swimmer associated with this agreement is physically fit and capable of participation in all activities.

Liability Waiver

By registering my swimmer with East Cavan Swim Club, I agree to participate and/ or allow my swimmer to participate in East Cavan Swim Club activities and training, and hereby release East Cavan Swim Club, its officers, agents, coaches, and employees from liability for any injury that might occur during participation in the East Cavan Swim Club programme, including travel to and from training sessions, swim meets or other scheduled team activities.

I agree to indemnify and hold harmless the above mentioned organisations and/ or individuals, their agents and/ or employees, against any and all liability for personal injury, including injuries resulting in death, or damage to property, while participating in the East Cavan Swim Club programme and other classes.
